Preparing an ACMI aircraft leasing inquiry
A clear leasing inquiry gives an operator enough information to evaluate the request and identify what still needs agreement. Keep commercial assumptions and operating approvals visible from the first exchange.
Describe the operation you need
Our inquiry worksheet starts with the proposed aircraft type or capability, passenger or cargo requirements, cabin layout, operating region, expected routes, bases, dates, expected block hours and cycles, and schedule flexibility. Use placeholders where the requirement is still undecided. Identify which figures are estimates.
Ask for an itemized proposal
Request the proposed aircraft and availability window, crew arrangements, maintenance responsibilities, insurance scope, minimum guaranteed hours, positioning and recovery costs, deposits, currency, payment schedule, quote validity and termination terms. Ask which costs are excluded, including fuel, airports, navigation, handling, accommodation and taxes where relevant. These are questions for the proposal, not assumptions about what every agreement includes.
Identify the operator and approval path
The UK CAA distinguishes wet, dry and damp leasing arrangements and describes their approval routes. The FAA's Truth in Leasing advisory circular explains why operational control must be clear. Read the guidance for the jurisdictions involved; a commercial label does not determine whether your particular operation is authorized. UK CAA aircraft leasing · FAA Truth in Leasing.
A concise opening email
“We are seeking a proposal for [aircraft/capability] from [start date] to [end date], based in [location] and operating [routes/region], with estimated utilization of [hours/cycles]. Please confirm availability, the operating entity, required approvals, commercial inclusions and exclusions, and the information you need to prepare a firm quotation.”
Compare proposals consistently
Use the same utilization assumptions and currency basis for each quote. Keep unconfirmed availability, approval status and insurance coverage marked as unconfirmed. Have the operator and appropriate advisers resolve the actual operating and contract responsibilities before an agreement is executed.
